Privacy policy

We process as little personal data as possible. This page explains what happens on vimoki.de and which rights you have.

1. Controller

vimoki GmbH
Stadtdeich 2-4, c/o Factory Hammerbrooklyn
20097 Hamburg, Germany
Represented by Managing Director: Alexander Krieg
Email: office@vimoki.de
Telephone: +49 170 7112570

2. Principles

This website does not use analytics, tracking services or advertising networks. We process personal data when you contact us, subscribe to the newsletter or register for a webinar, and to the extent technically necessary to serve the website. To safely retry a webinar registration, your browser stores a random request identifier valid for 24 hours. Names and email addresses are not stored in the browser for this purpose.

3. Hosting and server log files

This website is hosted by Vercel Inc., 440 N Barranca Ave #4133, Covina, CA 91723, USA. When you visit the website, Vercel processes technically necessary data (IP address, date and time of access, requested page and browser type) to deliver the website and keep it secure.

The legal basis is Article 6(1)(f) GDPR (our legitimate interest in operating a secure, responsive website). A data processing agreement is in place with Vercel; transfers to the USA are based on the EU Standard Contractual Clauses. Further information: Vercel Privacy Policy.

4. Contact form

When you use our contact form, we process the information you provide (name, email address, company and message) solely to handle your enquiry. The message is delivered to us by email. We use Resend (Resend Inc., USA) as a processor for email delivery.

The legal basis is Article 6(1)(b) GDPR (steps before entering into a contract or performance of a contract) or Article 6(1)(f) GDPR (our legitimate interest in responding to your enquiry). We keep the enquiry for as long as needed to handle it and any follow-up questions, then delete it.

5. Newsletter

We process your email address, company and chosen form language when you subscribe to our newsletter. Until confirmation, the company and language are carried in the signed confirmation link. After confirmation, we forward these details with your email address to our internal newsletter administration. We use double opt-in: after subscribing, you receive an email with a confirmation link. You are added to the mailing list only after confirming. We use Resend (Resend Inc., USA) as a processor for email delivery.

The legal basis is your consent under Article 6(1)(a) GDPR. You may withdraw your consent at any time by emailing office@vimoki.de or using the unsubscribe link in any newsletter. After withdrawal, we remove your email address and associated company details from the mailing list.

6. Webinar registrations

For webinar registration, we process your name, email address, company, booked session, registration status and, where applicable, payment status. We use this information to organise and run the event and to handle your booking. Registration does not subscribe you to our newsletter.

Registration data is stored in a separate PostgreSQL database hosted by Neon in the Frankfurt region. To organise your participation, we also transfer your contact details, booked session and registration status to our Pipedrive CRM. Existing newsletter preferences are unaffected. We send confirmations and organisational information through Resend.

We retain the data as required to run the event, answer questions and meet statutory retention obligations. The legal basis is Article 6(1)(b) GDPR; compliance with statutory retention obligations is based on Article 6(1)(c) GDPR. Further information about the providers is available from Neon and Pipedrive.

We will inform you of the video conferencing service and provide joining details before the session. Your registration alone does not authorise recording or any additional use of your contributions.

7. Protected administration area

The administration area is available only to authorised employees. We process their work email address and send a single-use sign-in link valid for 15 minutes. A technically necessary session cookie keeps them signed in for up to twelve hours. Event changes are logged with the editor and timestamp. This processing serves access security and event administration under Article 6(1)(f) GDPR.

8. External links

This website links to external services, including our product website vimoki.ai. The operators of linked websites are responsible for their own data processing.

9. YouTube videos

You can load YouTube videos in selected Insights articles. The provider is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. Our website does not connect to the video provider before you click “Load YouTube player”. After your click, we load the player from youtube-nocookie.com. YouTube receives information including your IP address and technical browser details; processing in the USA is possible. Privacy-enhanced mode does not prevent all data processing by YouTube.

The player is loaded on the basis of your consent (Article 6(1)(a) GDPR). We do not store your choice permanently. Reloading the page removes the player, but cannot retrieve data already transmitted. Alternatively, use the separate link to open the video directly on YouTube. Further information is available in Google’s privacy policy.

10. Your rights

You have the following rights regarding your personal data:

  • Access (Article 15 GDPR)
  • Rectification (Article 16 GDPR)
  • Erasure (Article 17 GDPR)
  • Restriction of processing (Article 18 GDPR)
  • Data portability (Article 20 GDPR)
  • Objection to processing (Article 21 GDPR)
  • Withdrawal of consent with effect for the future (Article 7(3) GDPR)

To exercise your rights, email office@vimoki.de. No special format is required.

You also have the right to lodge a complaint with a data protection supervisory authority (Article 77 GDPR). The authority responsible for us is the Hamburg Commissioner for Data Protection and Freedom of Information (Hamburgischer Beauftragter für Datenschutz und Informationsfreiheit), Ludwig-Erhard-Str. 22, 20459 Hamburg, Germany.

This privacy policy was last updated in October 2026. We update it when data processing on this website changes.
